About the Role

We are looking for a highly organized and detail-oriented Commercial Back Office Specialist to join our international operations team and support the Greek market.

The successful candidate will be responsible for the administration of credit insurance policies, ensuring the accurate and timely processing of contractual documentation, policy issuance, endorsements, billing activities, and customer support tasks. The role requires close collaboration with Sales, Account Management, Underwriting, and other internal stakeholders to maintain service excellence, operational efficiency and compliance with internal procedures and Service Level Agreements (SLAs).

Policy and Contract Administration

  • Prepare policy and contractual documentation based on instructions received from Sales and Account Management teams.
  • Create, register, and maintain credit insurance policies using Coface tools and operational systems.
  • Issue contractual documents, including policies, endorsements, contracts, premium calls, and invoices.
  • Ensure the accuracy, completeness, and consistency of policy and contract data across all relevant systems.
  • Manage contractual conditions, amendments, and billing administration activities.
  • Maintain policyholder records and ensure all supporting documentation is properly archived and updated.

Operational Support

  • Receive, review and process customer and prospect documentation required for policy creation and maintenance.
  • Handle requests, enquiries, and complaints from internal and external customers in cooperation with Sales and Account Management teams.
  • Manage and monitor document workflows, including processes requiring original handwritten (wet-ink) signatures.
  • Ensure the effective circulation of documentation between Commercial Back Office, Sales, and Account Management departments.
  • Support colleagues and team members in achieving operational objectives and service level commitments.

Reporting and Data Management

  • Prepare operational and management reports for local, regional, and Group stakeholders.
  • Perform data validation and quality checks to ensure the integrity of contractual and commercial information.
  • Analyze discrepancies and update records within the relevant systems.
  • Support KPI monitoring and operational performance reporting.
  • Maintain accurate data within Coface tools, operational platforms and reporting systems.

Controls, Compliance and Process Improvement

  • Ensure compliance with internal procedures, regulatory requirements and Service Level Agreements.
  • Apply Know Your Customer (KYC) procedures and requirements where applicable.
  • Identify opportunities to improve operational processes, streamline workflows and increase productivity.
  • Support continuous improvement initiatives within the Commercial Back Office function.
  • Facilitate effective communication between commercial, technical, operational, and management teams.

Required Qualifications

  • Bachelor's degree in Finance, Accounting, Business Administration, Economics, or a related field.
  • Previous experience in Commercial Back Office, Operations, Administration, Insurance, Financial Services, or Customer Support would be an advantage.
  • Good knowledge of Microsoft Office applications, particularly Excel.
  • Strong organizational, planning and administrative skills.
  • Excellent attention to detail and accuracy.
  • Strong analytical and problem-solving capabilities.
  • Customer-oriented mindset and strong interpersonal skills.
  • Ability to work effectively within a multicultural and international environment.
  • Commitment to continuous learning and professional development.

Preferred Qualifications

  • Experience using operational systems related to policy administration, contract management, reporting and customer information management.
  • Knowledge of financial statements and financial data interpretation.
  • Experience in KPI monitoring and performance reporting.
  • Continuous improvement mindset, with the ability to identify optimization opportunities and contribute to operational excellence initiatives.

Languages

  • Fluent in English
  • Professional in Greek (CEFR – Level C1-C2)
