We are looking for a highly organized and proactive Executive Assistant to provide direct support to the CEO and ensure the smooth coordination of day-to-day executive activities.

Key Responsibilities

  • Manage the CEO’s calendar, appointments, meetings, and daily priorities.
  • Coordinate internal and external meetings, including agendas, materials, and logistics.
  • Prepare meeting notes, track action items, and follow up on agreed actions and deadlines.
  • Manage and prioritize correspondence, communications, and requests directed to the CEO.
  • Draft and prepare emails, letters, presentations, reports, and other business documents.
  • Coordinate travel arrangements, including flights, accommodation, transportation, and itineraries.
  • Coordinate with internal departments and external stakeholders on requests, updates, approvals, and meetings.
  • Maintain accurate and confidential executive records and documentation.
  • Support the CEO in preparing for leadership meetings, Board meetings, presentations, events, and external engagements.
  • Proactively follow up on pending tasks and priorities to ensure timely completion.

Requirements

  • Bachelor’s degree in Business Administration, Management, Office Administration, or a related field.
  • 3–5 years of relevant experience as an Executive Assistant, Personal Assistant, Administrative Assistant, or similar role.
  • Previous experience supporting a CEO, senior executive, or senior management is preferred.
  • Strong experience in calendar management, meeting coordination, business correspondence, and follow-up.
  • Excellent organizational and time-management skills with the ability to manage competing priorities.
  • Strong attention to detail and a high level of confidentiality and discretion.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office and/or Google Workspace.
  • Professional proficiency in Arabic and English.
  • Ability to work independently, take ownership, and proactively follow through on assigned actions.
