This is an excellent opportunity for someone with a passion for HR administration who enjoys working in a fast-paced HR Shared Services environment. Reporting to the HR Shared Services Manager, you will play a key role in delivering efficient and accurate HR administrative support across the employee lifecycle.
Responsibilities will include preparing employment documentation, maintaining employee records, processing HR system updates, supporting onboarding and offboarding activities, responding to HR-related queries, producing reports, and ensuring high levels of data accuracy and compliance.
You will work closely with managers, employees, and external providers to deliver a professional and customer-focused HR service, while also contributing to the continuous improvement of HR processes and ways of working within the HR Hub.
The Role
- Provide a professional and efficient HR Shared Services experience, supporting employees and managers across a range of HR and payroll-related activities.
- Support the timely and accurate processing of payroll information through our HR & Payroll system and payroll provider, Moorepay.
- Assist with employee lifecycle administration, including new starter onboarding, employee changes, payroll updates, and maintaining accurate HR records.
- Act as a first point of contact for employee and manager queries, providing guidance and support on HR administration, payroll, and benefits matters.
- Contribute to the continuous improvement of HR processes and ways of working, helping to enhance the quality, efficiency, and consistency of the HR Hub service.
- Build positive working relationships with colleagues, managers, and external partners to deliver a responsive, customer-focused HR service.
HR Administration
- Manage the production of offer letters, contract variation packs, leaver documentation and the secure storage of employee records.
- Maintain HR templates, standard correspondence and associated process documentation to ensure consistency and compliance.
- Support audit activities and provide administrative assistance to internal stakeholders when required.
- Ensure confidential employee information is managed, stored and archived securely in line with GDPR requirements.
- Manage HR Hub ticket inboxes, meeting agreed service levels and maintaining a high standard of customer service.
Payroll
- Provide administrative support for monthly payroll processing activities.
- Maintain accurate employee data and process payroll-related changes in a timely manner.
- Assist with payroll reporting, checking, and reconciliation processes.
- Respond to routine payroll and HR queries, escalating complex issues where appropriate.
- Prepare payroll documentation and support employee lifecycle administration, including onboarding and offboarding activities.
- Contribute to the continuous improvement of payroll and HR administration processes to support an efficient HR Shared Services function.
Benefits / Pensions
- Support the administration and maintenance of company pension and benefit schemes.
- Provide factual guidance to employees regarding pension arrangements and scheme processes.
- Submit monthly pension contributions and maintain accurate pension records through provider portals.
- Process pension changes including joiners, leavers, contribution amendments and opt-in/opt-out requests.
- Support auto-enrolment, re-enrolment and annual benefit renewal activities, working closely with external providers and internal stakeholders.
Continuous Improvement
- Support HR and payroll projects that enhance service delivery and operational efficiency.
- Assist with the integration of newly acquired businesses into HR Hub processes and systems.
- Complete regular quality assurance and governance checks across payroll and HR administration activities.
- Review and improve standard operating procedures, templates and tools to support a consistent and high-quality shared service.
- Promote a culture of continuous improvement, identifying opportunities to simplify processes and improve the employee experience.
Health & Safety
- Promote a positive health and safety culture and encourage the reporting of incidents, observations and near misses.
- Support health and safety initiatives, including the use of reporting tools and participation in improvement activities.
- Identify opportunities to improve employee wellbeing and workplace safety across the business.
Requirements
- Proficient in utilising HR & Payroll software, training on our Moorepay system will be provided.
- Strong understanding of HR processes and employee lifecycle administration.
- Experience maintaining employee records and managing HR systems with a high degree of accuracy.
- Good working knowledge of Microsoft Office applications, particularly Excel, Word, and Outlook
- Exceptional accuracy, organisational skills, and the ability to meet tight deadlines.
- A strong commitment to confidentiality, compliance, and maintaining data integrity.
- Understanding of payroll processes and benefits administration would be beneficial.
