About the role
The Role
Joining the Royalties department in our London office, the primary role of the Royalties Coordinator will be to take ownership of the complete end-to-end process of Flowthrough, with weekly recurring responsibilities as well as ad-hoc tasks focusing on data, analysis and the processing of our clients’ music royalties.
This requires a process-driven mindset and a high level of attention to detail. You’ll be working in a fast-paced, deadline-driven environment, so your organisational and prioritisation skills, as well as an inquisitive and curious mindset, will be vital as you are constantly exposed to new challenges.
In return, you’ll work with a forward-thinking and collaborative team in an entrepreneurial environment where your ideas and suggestions on how to maximise value for our clients are always welcome.
This is also a great learning opportunity where you’ll be exposed to multiple departments across the organisation. Kobalt is a global music and technology company built for songwriters and publishers, with the technology infrastructure to enable better tracking and royalty collection for the billions of micro-payments per song in digital music today.
What You’ll Do
- Take ownership of a range of scheduled and ad-hoc activities, including weekly processing and allocation of our clients’ royalties.
- Work closely with other members of the Royalties team, as well as colleagues across Publishing Operations and Finance, handling a wide range of statement and quality-control checks.
- Reconcile payments against royalty data, investigating discrepancies and escalating issues to relevant stakeholders where required.
- Investigate and resolve processing failures to maximise royalty payment generation.
- Ensure statements, data files and receipts are received accurately and on time and handled in line with internal schedules, standards and deadlines.
- Document and maintain best practices, ensuring colleagues have the information and guidance required to resolve issues arising from distributions.
- Support Copyright teams with queries and guidance relating to royalties and royalty processing.
- Build effective working relationships with income sources and internal stakeholders.
- Identify opportunities to improve existing tools and processes to continually enhance our service offering.
- Ensure processing deadlines are met so Kobalt can pay its writers and publishers accurately and on time.
You may also be asked to support additional responsibilities as required by the team.
Preferred:
- Strong numerical skills with excellent organisation and prioritisation capabilities.
- A high level of attention to detail and a strong commitment to accuracy.
- Confidence working with and formatting data in Excel, including using PivotTables and formulas such as VLOOKUP.
- Excellent written and verbal communication skills.
- An inquisitive and curious mindset, with the confidence to investigate problems and ask questions.
- A solutions-oriented approach and the ability to use your initiative to solve problems.
- The ability to identify and initiate improvements to existing tools and processes.
- The ability to adapt to change and work effectively within a fast-paced, deadline-driven environment.
- A collaborative approach and confidence working with colleagues across different teams.
- A good understanding of music publishing.
- Previous administration, copyright or royalty-processing experience.
- An understanding of publishing income flows.
- Knowledge of key stakeholders across the music publishing industry.
- Previous experience working with royalty, financial or other large datasets.
What Success Looks Like
By Month 3: You’ll have developed a strong understanding of Kobalt’s royalty processes, systems and internal schedules and be confident in supporting weekly processing, allocations, statement checks and reconciliations.
By Month 6: You’ll be independently managing your core Flowthrough responsibilities, accurately reconciling payments against royalty data, investigating processing failures and escalating issues appropriately to ensure deadlines are met.
By Year 1: You’ll be a trusted member of the Royalties team who consistently delivers accurate and timely processing, has established strong relationships with income sources and internal stakeholders and proactively identifies opportunities to improve tools, processes and ways of working.

Curiosity & Problem-Solving – You’re inquisitive about how things work, use your initiative to investigate problems and look for practical solutions rather than simply escalating issues.
